NATO Summit

GENERAL

  1. Spain will host a NATO Summit in Madrid on 28, 29 and 30 June 2022.
  2. The meetings will be chaired by the NATO Secretary General, and will take place at RECINTO FERIAL IFEMA MADRID, at Avenida del Partenón 5, 28042 Madrid (Spain).
  3. An International Media Centre will be located on site and will be open from the 27 to 30 June 2022 for accredited media.
  4. All updates will be posted on the NATO website: www.nato.int. Updates will also be posted on twitter @NATOPress and @NATO.

MEDIA PROGRAMME

  1. The media programme will be available online in mid-June.
  2. All summit media events will be transmitted live by the Summit Host Broadcaster to the media centre, online and via satellite.
  3. Bilateral events between delegations are not a part of the official Summit programme. Details of these bilateral events should be sought from the delegations concerned.

MEDIA ACCREDITATION

  1. Media representatives wishing to cover the Summit in person (including those with an accreditation with NATO) will need to register via NATO’s media accreditation platform: https://my.hq.nato.int. Please find instructions on how to log in or create a new profile in Annex 1.
  2. The deadline to register and apply for media accreditation is no later than Monday 20 June 2022 at 23:59 (CET – Brussels time).
  3. Media representatives need to apply as soon as possible to allow for sufficient time for processing their requests. For security reasons, late applications are unlikely to be successful.
  4. NATO will confirm the accreditation by email explicitly in late June, using the email that was used to register, together with details about how media representatives can pick up their accreditation.
  5. Due to space limitations, NATO strongly recommends media organisations to limit their physical presence on site.
  6. Media representatives who want to cover the event will be required to comply with the COVID-related measures in force at the time of the event. Information on the exact procedure and timeline will be available later.

MEDIA ACCREDITATION OFFICE

  1. A NATO Summit Accreditation Office will operate at a separate location. Its address will be communicated closer to the event. The Accreditation Office will be the only point of entry and exit for the NATO Summit Media Centre.
  2. A media pass for the NATO Madrid Summit 2022 will be provided in person to accredited media at the Media Accreditation Office upon presentation of a valid national identification document (Passport or ID-card) and a valid national press card (or accreditation letter from a recognised media organisation). Passes must be visible at all times. Security personnel may ask to see another form of ID. Please arrive early to clear security checks. Security personnel will examine and may test equipment and personnel effects.
  3. In accordance with NATO media accreditation procedures, NATO reserves the right to deny or withdraw accreditation of media representatives from media organisations who abuse their privileges, put the accreditation to improper use, or act in a way not consistent with the principles of the organisation.

INTERNATIONAL MEDIA CENTRE

  1. The international media centre will be accessible from 27 to 30 June 2022; on the 27 broadcasters can bring in bulky broadcast equipment by appointment; please email OTAN2022mediaaccreditationinfo@presidencia.gob.es. See below the opening hours table for details.
  2. The media centre will include a general filing area and a broadcast area including a limited number of television and radio editing booths.
  3. A number of outdoor stand-up positions and indoor stand-up positions will also be available.
  4. There will be a briefing space for delegation press conferences, catering area, and parking for satellite trucks.
  5. Wi-Fi will be available throughout the media centre, and stand up locations. Wired internet will also be available in the media centre and at the stand up positions.
  6. More details will be provided to accredited journalists at a later stage.

POOLS

  1. Visual journalists will be able to cover the main summit events based on a pool system. More details about pool opportunities will be provided closer to the event.
  2. Journalists accepting a NATO pool position must share immediately all information and material collected while in the pool with any accredited media that request it, at no charge and with no restriction on the use of the material for news purposes. Media organisations that want pooled images should first contact the wire service / photo agency of which they are a client. Media representatives and news organisations must identify that it is pooled material every time it is used. Pooled material can only be used for legitimate news purposes and it cannot be sold.

BROADCASTING

  1. All media events will be streamed live, and footage will be available live via satellite and recorded via the NATO Multimedia portal.
  2. The national Spanish Television (TVE) will act as Host TV and OVERON will act as a Host Broadcaster for the NATO Summit. The Host Broadcaster will deliver a single high quality HD/SDI signal (1080i50 audio embedded) live to the media centre for all Summit media events, free of charge.
  3. The feed will be available without added graphics or text inserts. The live programme signal will also be aired on closed circuit television screens throughout the media centre and Summit site, via the NATO website, and via satellite. The host broadcaster will ensure the distribution of the signal in the International Media Centre and via Satellite.
  4. NATO HQ will also archive and distribute broadcast-quality B-roll from the event. Contact: content@natomultimedia.tv.
  5. The Media Centre will include a limited number of bookable editing booths for television and radio. Requests for booking should be addressed to OTAN2022@overon.es  before 20 June 2022.
  6. The following complimentary amenities will be available:
    1. Desks;
    2. Light, electricity (230v on 2-pin distribution boards), lockable door;
    3. Wi-Fi and cabled internet;
    4. TV screens;
    5. Video feed (BNC termination) of live programme signal. The format of the programme signal will be as origin, HD1080/50i with embedded audio and translation channels.
      (This will be provided by the host broadcaster as follows: 4 BNC termination outputs with the 4 HOST signals, there will be also a multi-view screen with the 4 feeds).
  7. A number of stand-up positions near the International Media Centre and indoor positions with a view on the general filing area will be available.
  8. Broadcasters who plan for continuous live coverage can book a dedicated position equipped with power, lights, internet connectivity and covered in case of inclement weather. Bookings can be made at OTAN2022@overon.es not later than 20 June 2022.
  9. Broadcasters who expect to require shorter time slots for live or recorded pieces to camera can book fully equipped live positions at commercial rates via the host broadcaster or other third parties (e.g. Eurovision, APTV, etc.)
  10. A fully equipped TV studio wired for live transmission is also available. Booking requests can be sent at broadcastoperations@hq.nato.int.
  11. Broadcasters can bring in bulky broadcast equipment by appointment only on 27 June. Broadcasters who need to park satellite vehicles will be given access to the open-sky car park at the international media centre located approximately 150 meters from the stand-up positions. Prior notice of arrival and space needs must sent to OTAN2022mediaaccreditationinfo@presidencia.gob.es by 20 June 2022
  12. Satellite vans will have access to electrical power and wired internet. TV teams should bring their own electricity cables to connect themselves to the electric network. The primary feed will be available at this location.
  13. The editing spaces are not cabled to the satellite van parking lot. Own cabling to the satellite vans is possible under conditions.
  14. More details regarding SNG access and cabling schedule will follow.

TRAVELLING TO SPAIN FOR THE NATO SUMMIT – COVID-19 LIMITATIONS, VISAS

  1. Journalists who need a visa to enter Spain will be responsible for making their own arrangements. Those media representatives are advised to request accreditation and to apply for a visa in parallel, and in good time.   2. Media representatives traveling to Spain to cover the NATO summit are expected to comply with the COVID-19 rules in force in Spain at that particular time. Annex 1 – Instructions for using the NATO Accreditation portal

Creating a new profile:

  • Select New user on the portal homepage
  • Use a unique email address per registration. It is not possible to register groups or more than one person with the same email address
  • Avoid using special characters (e.g. accents) when you enter information in your profile and ensure that the filenames of your photo and attachments do not contain special characters
  • In case our site is blocked by your provider (most likely because of a firewall), it is advisable to use a device connected to a different Internet source (4G or connection at home)
  • For media not in possession of a national press card number, please enter N/A within the National Press Card Number field
  • Safari browser is not supported. Please use another browser (also see below the paragraph on Attachments re Mac OS X).

Updating an existing profile:

  • If you have lost your password, please reset it here
  • If your email address/username has changed, please send an email to NatoAccreditations@hq.nato.int

Registering for an event:

Once your profile has been created:

  • Select Registered user on the portal homepage and log in
  • Click on Update your Event Attendance: select the event
  • Attach files as required
  • Tick and accept fields
  • Submit your request before the deadline

To verify if you have duly submitted your application with attachments, please log in to your profile and click on Update Your Event Attendance. The event tick box should appear as checked.

Including attachments:

To complete your registration, you will be required to upload two types of attachments:

  • Identity: a copy of your ID card/passport
  • Professional:
    • Candidates in possession of a valid press card (provided by a recognised national professional body of a NATO country – i.e. government, professional association or union) are required to upload a scanned copy of it onto their profile (PDF)
    • Candidates not in possession of a valid press card (provided by a recognised national professional body of a NATO country – i.e. government, professional association or union), are required, regardless of nationality, to upload a signed letter from their editorial staff onto their profile (in PDF, files in Word will not be valid)

For users of Mac OS X: Please upload files only in PDF.

Group registrations:

  • It is not possible to register groups or more than one person under the same email address.
  • A unique email address must be used to create a profile and register.
  • Editorial staff can prepare and sign a letter (in letterhead) containing all the names of the crew members that the media outlet/company wishes to send to cover the event. The letter must contain:

SURNAME, Name, date of birth, ID/Passport number

Each crew member can upload the same group letter onto their individual registration.

It is the company/media outlet responsibility to ensure that all their crew members are duly registered for the event.

To verify if you have duly submitted your application with attachments, please log in to your profile and click on Update Your Event Attendance. The event tick box should appear as checked.
